Eligible investment. dokit invoices are issued with an itemised description suited to applications for support towards company digital transition, in particular under the RRP — NextGenerationEU and Portugal 2030, where subscriptions to artificial intelligence systems are usually eligible expenditure. Eligibility and the conditions of each scheme are set by the relevant managing authority.

Included in every plan
- Purchase and sales documents: invoices, receipts, credit notes and supplier invoices.
- Capture: manual upload and watched folder.
- Processing: OCR, classification and automatic naming by AI.
- Archive: repository searchable by any field in the document, with per-user permissions.
- Control: duplicate alerts and a management dashboard.
- Security: automatic copy to the customer’s Drive or database.
- Limits: monthly volume and number of users according to the plan.
- PHC integration: optional activation.
Optional, quoted separately
- Integration with other ERPs: assessed case by case.
- Redundant backup: a second storage account, with the archive replicated to two independent destinations.
- Technical support: work beyond help with day-to-day use.
- Additional document types: delivery notes, contracts, bank statements, insurance policies, certificates or HR documents.
Out of scope
- Scanning the historical archive: done by the customer. If the documents are already scanned into a folder, dokit imports them.
- Accounting entries: dokit files and links; it does not classify for tax purposes nor replace the accountant.
- Reporting to the tax authority and tax compliance validation.
- Physical collection and paper destruction.
Data protection
The documents contain personal data. The customer remains the data controller and invokit acts as processor under Article 28 of the GDPR, with a written agreement.
The Service does not retain the documents: files and copies live on the customer’s infrastructure, with per-user access and an operations log.
Classification by artificial intelligence relies on external providers, as sub-processors named in the agreement. Documents are processed only to classify and name them, with no retention on their side.
International transfers are carried out only with the safeguards laid down in Chapter V of the GDPR.
